DIAGNOSIS BEFORE TECHNOLOGY
The expensive problem is often between your systems.
A missed call may begin in one tool, become a note in another, wait in an inbox, and disappear before anyone owns the next action. The audit follows the work end to end before recommending technology.
Lead response
Calls, forms, and after-hours inquiries wait too long or reach the wrong person.
Quote follow-up
Estimates are sent, but the next action depends on memory, manual chasing, or inconsistent rules.
Field administration
Scheduling, job notes, customer updates, and invoicing require repeated copying and checking.
Operational knowledge
Critical exceptions live in one employee's experience instead of a usable process.
FOR OPERATIONS-HEAVY ORGANIZATIONS
A clear first step wherever work moves through people, systems, and handoffs.
VAMA works with owner-led and management-led organizations where revenue and delivery depend on repeated customer response, scheduling, documents, approvals, coordination, knowledge, or follow-up across both field and office-based operations.
Examples, not limitations
Field services and trades | Professional and advisory firms | Healthcare and clinics | Logistics | Property and facility services | Construction and real estate | Hospitality | Education and training | Agencies | B2B services | Light manufacturing | Distribution | Multi-location businesses
Typically 10-100 employees, or a smaller high-volume team, with measurable workflow friction and access to leadership plus the people who perform the work.
Not designed for buyers seeking only a chatbot, free consulting, or a guaranteed savings claim.
THE PAID DIAGNOSTIC
What your AI Revenue Leakage Audit includes
A 10-business-day engagement that gives you an evidence-based decision roadmap. Implementation is optional and separately scoped.
01
Leadership and staff interviews
One leadership interview and 2-4 practical workflow interviews focused on how work actually happens.
02
Current-state process maps
The handoffs, waits, duplicate entry, rework, judgment, and exceptions across the selected workflow.
03
Cost-of-inaction range
A conservative low, base, and high scenario using client-validated volumes, time, and contribution inputs.
04
Opportunity matrix
Quick wins, process-first improvements, larger opportunities, and money pits ranked with a consistent method.
05
AI, data, and risk screen
A practical review of data readiness, vendor risk, human review, adoption, testing, and rollback needs.
06
90-day roadmap and debrief
Up to 3 priorities with owners, baselines, targets, acceptance criteria, dependencies, and stop conditions.
HOW VAMA WORKS
Business clarity first. Technology second.
Every recommendation must earn its place through business impact, feasibility, data readiness, risk controls, adoption readiness, and time to value.
1. Diagnose
Follow the workflow from customer trigger to business outcome.
2. Validate
Confirm the baseline and separate cash cost, capacity, and revenue opportunity.
3. Prioritize
Score the options and identify what should not be automated.
4. Roadmap
Define the smallest safe pilot, owner, metric, test, and rollback.
VAMA may recommend process redesign or an existing software feature before custom AI. No client data is placed into an AI tool outside the approved data mode, and no AI output is delivered without human review.
START WITH A PAID DIAGNOSIS
Know what is worth fixing before you fund the build.
The audit is a standalone deliverable. Use the roadmap internally, ask VAMA to govern implementation, or scope a separate sprint only where the business case is credible.
Included: defined interviews, workflow maps, cost-of-inaction model, opportunity and risk scoring, 90-day roadmap, executive debrief, and one consolidated factual-correction round.

COMMON QUESTIONS
What to know before we speak
Is this limited to particular industries?
No. Fit is determined by the workflow, not the sector. If a company has repeated handoffs, customer-response delays, document work, scheduling, approvals, re-entry, or follow-up that can be measured, the audit may be appropriate.
Can the work be completed remotely?
Yes. Interviews, secure document exchange, analysis, reporting, and the executive debrief are designed for remote delivery.
Will you guarantee savings or new revenue?
No. VAMA shows the inputs, assumptions, confidence range, and measurement plan. Actual results depend on implementation, adoption, demand, data quality, and vendors.
Will our information be uploaded to AI tools?
Only according to the written data and AI mode. Restricted and no-external-AI workflows are available, data is minimized, and human review remains mandatory.
Can we implement the roadmap ourselves?
Yes. The audit does not require you to purchase implementation. A separate sprint, partner-led build, or ongoing governance is available when appropriate.
A PRACTICAL FIRST CONVERSATION
Is one workflow costing more than it should?
Use a 20-minute fit call to determine whether there is enough measurable friction, access, and decision value for a paid audit. Do not send sensitive customer data before the call.
